Equipment Hire Terms and Conditions

Between the University of Sunderland (“University”) and the Student borrowing the Equipment (“You”)

It is very important that You read through these terms & conditions before You borrow any Equipment.

  1. Borrowing of the Equipment

  1. The University agrees to loan You the Equipment on the terms set out in these Terms and Conditions.
  2. The Equipment loaned to You is itemised in the booking on Your SiSo account.
  3. The Equipment shall be loaned to You for the agreed period specified in Your booking on your SiSO account.
  4. You shall collect the Equipment at your own expense from The David Puttnam Media Centre, Monkwearmouth, Sunderland SR6 0DD, at the date and time agreed with the University.
  5. You shall return the Equipment at your own expense from The David Puttnam Media Centre, Monkwearmouth, Sunderland SR6 0DD, at the date and time agreed with the University.
  6. Equipment must be collected within 15 minutes of the collection time and returned before the time specified on Your booking. You will need to check the details on your SiSo account for these details. Failure to comply with these conditions will result in a possible fine and withdrawal of Your loan privileges.
  7. Penalties will be issued automatically by the SiSo system if You do not collect your booking or return the equipment late. A sum of £5 will be charged if kit is more than 15 minutes late on return. A £10 fine will then be added for every day the kit is late. If the kit is still overdue after 7 days, Your SiSo account will be suspended.

  1. Use of the Equipment

  1. You shall use the Equipment in a careful and lawful manner, complying with all manufacturer’s requirements relating to the Equipment and all applicable laws relating to the use of the Equipment; including but not limited to environmental, copyright and data protection laws.
  2. You must not use the Equipment or facilities in a way that breaches any University guidelines, policies, regulations or that brings the University into disrepute
  3. You shall use the Equipment for the purpose for which it was designed and not for any other purpose. Student users are not permitted to use this Equipment for profit or private use.
  4. The signatory of this equipment hire agreement is responsible for all Equipment borrowed and must ensure its safe return to The Equipment Store for serviceability checks and maintenance prior to re-issue.
  5. You must not borrow Equipment on behalf of another user. You must not sub-let the Equipment or directly pass it to another user. Passing equipment directly to another student or colleague will not be seen as a proper handover of responsibility and the signatory for the equipment hire agreement will remain fully responsible for proper and timely return of the Equipment.

  1. Lost or damaged and items

  1. During term time resources are in constant use. Scheduling of equipment and facilities is critical, and the success of the loan system relies on the timely return of borrowed items. Failure to return borrowed equipment will deny other Students or Staff expecting booked facilities to be available.

If, for any reason, You are delayed in returning Equipment or by the agreed due date, please contact The Equipment Store (0191 5152266) as soon as possible. It may be possible to extend your booking, or make alternative arrangements for equipment to be made available to the next user.

  1. All items borrowed must be returned in the same state as issued. It is Your responsibility to check the condition of all portable Equipment at the time of collection. Once Equipment leaves the store, You become liable for the repair or replacement costs of Equipment in the event that any asset is lost or damaged.
  2. Faults that are discovered or damage incurred whilst You are in possession of the Equipment must be reported to The Equipment Store as soon as possible - Equipment that becomes unusable should be returned for replacement (if available). Please note that the University does not provide charged batteries and You are responsible for ensuring batteries are charged, and lamps are functional prior to use.
  3. Equipment which is returned damaged must be accompanied with a written report detailing the damage.
  4. Any loss or theft of Equipment must be reported immediately to The Equipment Store and to the police in the area where the theft is thought to have occurred. You will be required to provide a written report providing full details of the incident and providing a police reference number. Any incident involving the loss or theft of University property will be investigated.
  5. Items of equipment which are returned damaged or which are irretrievably lost will have to be replaced by the department which will require You to pay the full cost of replacement. You are strongly advised to take out insurance against such possibilities.
  6. A list of the replacement costs of all equipment is available from the equipment store upon request (repair costs will be quoted on a case by case basis).
  7. Damage to equipment will be fined on a case-by-case basis. You will not be able to borrow equipment or use the Media facilities until you have paid any fines on your account.

Warning

Always be careful when using University loaned equipment. Never leave equipment unattended when in use and always store equipment away safely and securely at other times. Take care to avoid damaging equipment, particularly with food and drink, extreme weather conditions and detrimental environments. You are not permitted to borrow equipment on behalf of, loan or sub hire equipment to another user by signing this agreement. You are fully responsible for any and all damage or loss to the equipment listed on your booking, and any costs associated.
